Adoption Administrator
Goal
The Administrative Assistant (AA) supports Toronto Cat Rescue’s adoption counsellors by monitoring our adoption inbox, tracking inquiries, and forwarding emails and voice messages from potential adopters to the appropriate counsellor.
We are looking to add to our team of administrative superstars who help connect adopters with adoption counsellors. Adoption administrators are assigned a specific weekly six-hour shift that they perform remotely. AAs are usually the first point of contact for adopters and are the first step in getting our cats from foster homes to forever homes.
Available Shift(s):
Saturdays 9:00 am – 3:00 pm
Sundays 3:00 pm – 9:00 pm
Backup coverage AA
Essential Duties & Responsibilities
Monitoring voicemail and email messages throughout the assigned shift
Logging inquiries into our online database
Identifying the correct adoption counsellor for each inquiry and forwarding incoming messages to them
Gathering more information from potential adopters via phone or email if required
Qualifications & Expectations
At Least 18 years old
Must have access to a computer with internet, a keyboard for data entry and a telephone for picking up voice mail messages
Highly organized with a strong attention to detail and accuracy
Solid computer skills, specifically relating to email, data entry and searching spreadsheets (no financial spreadsheet knowledge required). Familiarity with Google Suite is an asset, but not required
Ability to work independently with little supervision
Ability to troubleshoot occasional problems quickly and professionally
Accountable and able to meet strict deadlines
Reliable and able to commit to a weekly 6 hr shift for a minimum of 6 months (backup AA’s are available for occasional absences like vacations or illnesses)
